Release of Information Policy

The University of Virginia's College at Wise complies with the Family Educational Rights and Privacy Act of 1974.

The University of Virginia’s College at Wise maintains the confidentiality of education records; neither such records, nor personally identifiable information contained therein, except for directory information, shall be released without student permission except as authorized by the Act.

Directory Information

The following categories of information have been designated by The University of Virginia's College at Wise as "directory information" and may be used as a matter of public record. However, should a student desire that any portion or all of this information not be released, it will be withheld provided written notification is given to the college registrar within five days after the first day of class.

1. Student name

2. Address (permanent, local or residence hall)

3. Campus post office box number

4. Telephone listing

5. Date and place of birth

6. Major field of study

7. Minor field of study

8. Participation in officially recognized activities and sports

9. Weight and height of member of athletic teams

10. Dates of attendance

11. Degrees, awards, and honors

12. Previous educational agency or institution attended

13. Fraternity and/or sorority membership

14. Department of major; year

15. Degree sought and dates of graduation

16. Educational society membership

17. Student photographs

Only those school officials who have a "need to know", acting in the student's educational interest, may access the educational record of a student. Except as provided by the law, data released to outside sources will be in aggregate form and no "personally identifiable" records will be made available. Official grades will be posted to the UVA-Wise Student Information Portal at the end of each semester.

Procedures for Inspection and Review

Students who wish to inspect and review their educational records may do so by submitting a written request to the official responsible for the specific record desired. A parent of a dependent student may make a similar request by following the procedures outlined in the college catalog. The responsible official must respond within 45 days of the request by sending the student a copy of the requested record or arranging an appointment for the student to review the requested record. Copies of educational records or record entries, with certain exceptions as specified in the Act such as financial records of parents and records subject to waiver of rights will be provided at the student's written request. Copies of student's permanent academic record (transcript) will be provided at the student's written request. Time limits for maintaining records vary so students are encouraged to contact the custodian of the specific record needed to determine its availability. The college reserves the right to deny a copy of an educational record for which a financial "stop" exists or for any record for which a student has waived the right of review. Transcripts from other institutions cannot be reproduced.

Students have the right to an explanation and interpretation of the educational record and the right to file a complaint with the Family Compliance Office of the U.S. Department of Education (600 Independence Avenue, SW, Washington, DC 20202-4605, Tel: (202 260-3887.)

Procedures for Challenging the Contents of an Educational Record

Students may challenge the contents of an educational record which they consider to be inaccurate, misleading or otherwise in violation of their privacy rights. Students may submit a request to the custodian of the particular record in question and that individual shall attempt to resolve the problem through informal discussions. If a challenge to a record is not satisfactorily resolved by this procedure, students will be informed of their right to a formal hearing.
