What is the Mail & ID Services Office?

The purpose of Mail & ID Services is to support the educational mission of The University of Virginia’s College at Wise by handling all mail related services for the college and its student body in a timely, cost effective, and efficient manner. Campus Mail Services will act as liaison with the USPS, UPS, Fed-Ex, and other private correspondence carriers, both domestic and international.

The Mail & ID Services office is located on the 4th floor of the Slemp Student Center, open 8-5 M-F. The office is closed during all recognized college holidays when the college is closed.

Mail Services for Students

Mail & ID services provides students with a campus mailbox that allows them to receive mail and packages. We also sell stamps, stamped envelopes, and postage for packages sent out via USPS. We provide priority and flat rate boxes for packages, but we do not supply tape or packing materials.

We can handle transactions with cash, credit cards, and Apple Pay.

Returns
We handle returns through USPS, UPS, Fed-Ex . All packages must be packed and ready to ship.

Campus Mailboxes
Mail & ID Services offers UVA Wise students a free temporary campus mailing address or campus mailbox for the duration of the student’s college career. On-campus students are automatically assigned a mailbox, but commuters must request a box to receive one.

Proper Addressing
All mail must be properly addressed. A complete correct address will ensure correct delivery of your mail; all mail and packages with incomplete addresses WILL BE RETURNED. All mail must be addressed as follows:

SSC # (insert your box number here)
Wise VA 24293-4412

Memorize your box number, as it acts as an identifier when you pick up.

Packages
There are no deliveries to residence halls. All mail and packages are delivered to Mail & ID Services. You will receive an email in your student account from PITNEY BOWES once your package is ready for pickup. You cannot get your package until you receive this email.

When picking up packages, make sure that you know your mailbox number and have your CAVS CARD on you. This makes sure we can properly identify you.

Walmart & Food City home delivery services will need to be addressed with first, last name and box number, and delivery to Slemp Student center 4th floor mail services. Open hours 8-5 M-F

Mail Services is not responsible for any mail or packages left after hours from courier services.

Forwarding Services
Mail Services forwards mail for three months after your box is closed. Certain mail cannot be forwarded and is handled according to the sender’s endorsement directions. Contact the sender if any expected mail is not received. Federal Express and UPS cannot be forwarded.

Mail Services for Faculty & Staff

Delivery of all business mail is provided through this service.  Faculty and staff are not to receive personal mail through the College, and all faculty should have a private mailing address.  Faculty or staff living on campus can receive personal packages, but they must be picked up at the Mail Services Counter. USPS, UPS, and Fed-Ex shipping are for college business only. Shipping of personal items should be taken off campus. 

Mail Runs
Outgoing mail from every office is picked up at a designated location within each building and deliveries are made to the same locations ONCE A DAY, usually in the early afternoon. 

Personal packages and mail will not be picked up during these runs; they must be brought to the Mail Services Counter.

Interoffice Mail Policies
Interoffice mail is limited to college business. All campus mail being sent from one department to another should be enclosed in a reusable interoffice envelope. If the mailing requires a #10 or business stationary type envelope, keep those items separated from the mail to be metered. This will also prevent delays in handling and eliminate the possibility of campus mail being inadvertently metered and mailed out.

Distribution to Faculty/Staff
To reduce sorting time, provide all mailings with the Faculty/Staff’s full name.

Distribution to Residential Students
To reduce sorting time, provide all mailings with the student’s full name and campus box number. Each individual’s mailing must have a “return” name/dept or student box number. If every student on campus is receiving the same information, names and box numbers are not necessary.
